At AJAY EQUIPMENT CORP delivering your tractor and heavy equipment is the best way to insuring a seamless purchasing experience. This policy describes our shipping and handling practices and our shipping and handling related terms including order processing from receipt, order acceptance, processing time prior to shipment, shipment, and delivery, so that you are aware of your estimated arrival of your order.
Once your order has been confirmed and payment has cleared, we begin processing your tractor or equipment order:
Order Verification & Documentation: 1 business day
Our logistics team reviews your order, verifies delivery feasibility, and confirms specifications.
Tractor Preparation & Inspection: 1–3 business days
Each unit is inspected to ensure it meets all specifications and quality standards. Any customizations or specific modifications requested will also be checked during this time.
Scheduling for Dispatch: Begins immediately after inspection clearance
Once the equipment is ready, we will schedule the dispatch and send you a Shipping Acknowledgment email with tracking details and your logistics coordinator’s contact information.
Standard Tractors (In Stock): Typically dispatched within 3–5 business days
Custom Orders or Special Requests: May take 7–14 business days, depending on the complexity of modifications or special features.
Peak Season or Remote Locations: Slight delivery variations may apply. We will communicate any delays clearly before finalizing the dispatch schedule.
All tractors are shipped via certified logistics partners who specialize in the transport of heavy equipment. We use tilt-bed, flatbed, and crane-assisted deliveries, depending on the access and requirements of the delivery site.
Once your tractor leaves our facility, we will send you a Dispatch Confirmation Email with the following details:
Official ETA (Estimated Time of Arrival)
Driver contact details (where applicable)
Delivery instructions or special handling notes (if any)
Real-time communication channel for schedule changes
Typical Transit Time Based on Region:
Southwest US: 1–3 business days after dispatch
West Coast: 2–4 business days
Midwest: 3–6 business days
East Coast: 4–7 business days
Remote/Rural Areas: May require additional coordination for offloading or access support
Site Readiness:
It is your responsibility to ensure that the delivery site is accessible and suitable for large commercial vehicles. The area must be:
Level and stable for offloading
Free of overhead obstructions, debris, or other obstacles
Clearly marked or attended at the time of delivery
If our team determines the site is unsuitable upon arrival, additional charges for re-delivery or delays may apply.
Delivery Equipment:
We deliver tractors using:
Tilt-bed trucks (preferred and most common for easy offloading)
Flatbed trucks with crane or forklift (used when site access is limited or requires special handling)

While we make every effort to meet your delivery expectations, there are instances where delays may occur beyond our control, including but not limited to:
Severe weather conditions (snowstorms, hurricanes, etc.)
Transportation strikes or unexpected road closures
Mechanical issues with delivery equipment
Access or permitting challenges at delivery sites
In such cases, we will keep you informed promptly, providing updated ETAs and offering alternative delivery solutions if necessary.
Once your tractor has been successfully delivered, our driver will ask for confirmation from an on-site contact or representative. You will receive a final Delivery Receipt for your records.
If you have concerns about the condition of the equipment or its placement on-site, these should be noted at the time of delivery. Our team will address any issues during the drop-off process.
We understand that sometimes plans can change. If you need to reschedule or adjust the delivery of your tractor:
Notify us at least 48 hours in advance to avoid any inconvenience.
Late changes: If the tractor is already in transit, a rescheduling fee may apply.
